Suppression List Sources

 

There are three suppression entry sources:

  • User added
  • Administrative
  • SPAM Complaint

User Added

These entries are named under your account name and can be managed by you. You can delete existing ones and add new ones.

Administrative

These entries are suppressed by Sendloop Team. There may be several reasons for this. For example, we might have received a SPAM or junk email complaint from one of your recipients directly. In such cases, Sendloop crew will add the email address into your suppressed list to avoid any SPAM issues in the future.

SPAM Complaint

Whenever a recipient clicks “SPAM” or “Junk Email” button in the email client or service (such as AOL, Hotmail or Yahoo!), we get notified about this and immediately add the recipient email address into suppression list of your subscriber list to avoid any future unsatisfaction.

Both administrative and spam complaint suppression entry types can not be managed by Sendloop users. They’re automatically handled and managed by Sendloop system to keep your account in borders of our anti-spam policy.

Suppression List

 

Basically, suppression list is an exclude list for each one of your subscriber lists. Email addresses included in suppression lists will be excluded from outgoing emails. There are a few essentials about suppression lists:

  1. Every subscriber list has its own suppression list
  2. Suppression list of a subscriber list gets activated when you send an email campaign to that subscriber list

To browse suppression list of one of your subscriber list, simply go to “Browse Subscriber Lists” screen and enter to the details of your subscriber list. Then click “Browse Subscribers” link and on the right side you will notice the “Suppression List” box:

To browse your suppression list entries, simply click “Browse” link. To add new entries, click “Add entries” link.

When you browse your suppression entries, you may notice different suppression entry types in your list such as “Administrative”, “SPAM Complaint” or “your account name”.

You can only delete suppression entries which are added by you (ones that have your name in “type” column). “Administrative” and “SPAM Complaint” suppression list entries can not be removed and they will be excluded from all outgoing campaigns. Web Services

 

Sendloop Web Services are useful if you have an existing database on your website and want to synchronize your database with your Sendloop account.

When this feature is enabled, Sendloop will start transferring subscription and unsubscription events to a third party URL occurring in the enabled subscriber list.

Sendloop transfers subscription and unsubscription data to your URL with POST method.

Here’s an example what you will receive when a subscription or unsubscription occurs:

To enable Sendloop Web Services, simply go to the overview page of your subscriber list and follow these easy steps:

  1. Click “Edit List Settings” link
  2. Scroll down to “Web Services” part and enable one of the events (or both). Then enter the URL of your integration address.
  3. Once you entered the URL of your integration scripts, click “Test Web Service” button to see if Sendloop will be able to connect your URL without any problem.
  4. Once everything is okay, simply “Save” button at the bottom of the page.

That’s all. Once this is done, Sendloop will start transferring any subscription or unsubscription events to your third party URLs.

This functionality is a killer feature for anyone who is interested in keeping their own database synchronized with Sendloop lists.


Understanding List Statistics

 

Sendloop provides you very useful statistics and reports about your subscriber lists. In this way, you can know what’s going on about your subscriber lists.

You can improve your newsletter campaigns based on these statistics and increase your conversion rate.

To access subscriber list statistics, go into one of your subscriber lists.

Subscriber Activity

You will see two charts in subscriber list overview screen:

The bar chart displays the subscription and unsubscription activity for the last 30 days. Hover your mouse icon to bars to see their values.

On the right side, you will see two pie charts. These charts give you an idea about subscriber status of your list. Less bounced subscriber means more active lists. Please note that if you have high amount of bounced subscribers, you must definitely consider udpating your subscriber data by contacting them individually and getting their new email address with permission.

Otherwise, bounced subscribers may cause your account to get suspended.

Total Subscribers

On the left top of the subscriber list overview screen, you can see the number of active subscribers (subscribers that are not bounced or unsubscribed - ready to receive emails):

Statistics Overview

To see more detailed statistics about your subscriber list, click “Statistics Overview” link under total number of your subscribers.

On the left side, you will see your subscriber list advisor. This part gives you an idea about the best days of opening / link clicking:

Sendloop analysis your subscriber list activity based on previously sent campaigns and suggests you the best days to send your campaigns for highest open rate or link clicking.

On the right side of the page, you can see 5 charts which display the following data:

  • Email Opens: Number of people who opened newsletter campaigns sent to this subscriber list. Hover your mouse icon above lines to see unique and total vaues.

  • Link Clicks: Number of people who clicked at least one link in your newsletter campaigns sent to this subscriber list.

  • Email Forwards: Number of people who have forwarded your newsletter campaigns to their friends by using Sendloop’s forward-to-friend functionality.

  • Browser Views: Number of people who couldn’t see your HTML newsletter properly on their email clients and clicked ‘View this email in your web browser’ link.

  • Subscription and Unsubscriptio Activity: This bar chart gives you an idea about subscriptions and unsubscriptions occurred in the last 30 days.

Removing and Exporting Subscribers

 

To remove subscribers,

  1. Click ‘Remove subscribers‘ link inside your subscriber list
  2. Sendloop will ask you what to remove:
    • All subscribers: Removes all subscribers of the list
    • Specific email addresses: Enter email addresses (email per line) and they will be removed
    • If any segment is set for your subscriber list, you will also have ability to remove subscribers matching that segment.

To export your subscribers,

  1. Sendloop can export your subscribers to CSV (Comma Separated), TAB (Tab Separated) or XML file formats. These are the most popular file formats.
  2. Select target subscribers to export and file format from lists.
  3. Select which fields to export. You must select at least one field to export.
  4. Once you click ‘Export’ button, Sendloop will prepare the export file for you and let you download it through your web browser.

Adding Subscribers

 

Adding subscribers into your subscriber lists is an easy process and takes only minutes.

Sendloop supports CSV files such as comma, tab or similar character delimeted files. This is an ideal file format and support by almost all softwares.

To add new subscribers into your subscriber list, just follow these easy steps:

  1. Enter into your target subscriber list

  2. Click Add Subscribers link

  3. Okay, now you are in add subscribers section. As you can see, you can either select a file from your computer or type your subscribers manually.
  4. Once you select your CSV file, please read the anti-spam policy and be sure that your subscribers does not violate Sendloop anti-spam policy.
  5. Check the ‘I agree’ checkbox if you agree
  6. Click ‘Continue’ button
  7. Sendloop will check your subscriber file and ask for field mapping in the next screen:

  8. Just like in the above screen, please match your subscriber fields  with Sendloop fields. If you  don’t want to import a field, just select ‘Skip this field’ option from the correspondong list.
  9. Once you map all fields, click ‘Add Subscribers’ button and Sendloop will start importing your subscribers into the list.

Website Integration

 

You can easily integrate Sendloop into your website(s). This process does not require any programming skills. Just basic HTML knowledge will be highly enough.

To gather integration codes, click “Website Integration” link inside your subscriber list.

On the left side, you will see subscription settings and on the right side, you will see unsubscription settings

HTML codes are pre-generated HTML codes and they can be used in your websites. If you want to change this codes, simply set your subscription/unsubscription settings and click “Update” buttons.

Subscription Form Integration

  1. Select custom fields to include in your subscription form. You can select multiple custom fields or none of them.
  2. Define result URLs. These URLs will be used on redirecting subscriber upon subscription. If you don’t want to set any result URL, Sendloop will use it’s own result URLs.

Once you click “Update Subscription Settings” button, a new HTML code will be displayed to you. Copy that HTML code and paste it to the correct section on your website page(s).

Unsubscription Form Integration

You can define a result URL for unsubscription process. In this way, unsubscribed subscriber will be redirected to the defined URL. If you don’t want to set a one, just use Sendloop’s default URLs.

Once you click “Update Unsubscription Settings” button, a new HTML code will be displayed to you. Copy that HTML code and paste it to the correct section on your website page(s).

Segmentation

 

Segmentation is a must-have feature if you want to target your campaigns to the correct interest group.

For example, if you have subscribers who are interested in only watching soccer, why don’t you send soccer related campaigns to this group only? This will definitely increase your campaign conversion ratio and also decrease unsubscription rates.

To setup segments under your subscriber lists, go into one of your subscriber list and click “Segments” link. To create your first segment, follow these easy steps:

  1.  Name your segment. This is not visible to your subscribers:

  2. Define the matching rule. This can be set to “all” which means all rules defined in this segment will be matched or “any” which means any one of the rules defined in this segment can be matched.
  3. Define your segment rules. You can define unlimited amount of rules for each segment. Just for an example, we defined a rule which searches “Interested Cars” field for “Audi” car brand:

  4. Once you define segment rules, click “Create” button to create your segment.
  5. Now, Sendloop will show you a list of available segments and matching subscriber total for each segment:

  6. You can delete a segment by clicking red delete icon.
  7. To edit a segment, just click the segment title.
  8. To create a new segment, click “Create Segment” tab.

Custom Fields

 

Custom fields are useful and a must-have feature for storing additional subscriber information. Basically, you can store any type of additional information about your subscribers. This can be first name, last name, address, phone number, website address, order number, description, etc.

You can create unlimited amount of custom fields for each subscriber list.

You can include custom fields in your subscription forms so that subscribers can enter more information to your system. This information can be used on segmenting your lists and making your campaigns more targeted which means higher conversion rate - lower unsubscription rate.

To create a new custom field, go into one of your subscriber lists and click “Custom Fields” link:

If you have created any custom fields before, they will be listed. If there’s no any custom field, you will be shown “Create Custom Field” form.

We assume that you have already “Name” custom field. So, click “Create Custom Field” tab to create a new one:

To create your custom field, you must set its properties.

Field Tame is the title of the field. This will be visible to your subscribers in subscription forms. An example to field name can be “What is your first name?”

 Field Type is the input type of the field. Available options are;

  • Single line: A single input field. Suitable for short information such as name.
  • Paragraph text: A multi-line text area. Suitable for long information such as address or description.
  • Multiple choice: Radio button list
  • Drop down: A drop down list
  • Check boxes: Check box list

Data Type is the data storage type. Selecting correct data type is quite useful if you are going to use this custom field in segmentation. For example, if you are creating a custom field for birthday, selecting “Date” custom field makes it available in segmentation.

Once you are done, click “Create” button and your custom field will be created.

List Settings

 

In list settings, you define general settings of your subscriber list such as subscription type, welcome email, etc.

To edit your subscriber list settings, go into your subscriber list and click ‘Edit List Settings’ link.

  • If you want to rename your subscriber list, change “List Name” field.
  • List ID (For API Integration) is useful for Sendloop API integration.
  • Subscription Type defines how your subscribers can subscribe to this list:
    • Double Opt-In (recommended): When this type is set, a confirmation email will be sent to the subscriber to confirm his/her subscription. Without this confirmation, subscriber account will not be activated.
    • Single Opt-In: If this feature is selected, subscriber account will be  immediately activated without confirmation. We do NOT suggest this for subscriber lists which are used on your websites. This may cause un-wanted subscriptions and spamming as a result.
  • Unsubscription Behavior defines the scope of unsubscription process:
    • From this list only:  Unsubscribed  email address will be removed from the target list only
    • From all lists: Unsubscribed email address will be removed from all lists.
  • If you enabled ‘Double Opt-In’ subscription type, “Confirmation Email” settings will be displayed to you. In this part, you will set how your confirmation will look like:

  • From Name is the name which will be displayed in your email as the sender name.
  • From Email Address is the email address which will be displayed in your email as the sender email address. All replies will be aso sent to this email address.
  • Subject of your email can be personalized with the available information listed in the list below subject field.
  • Once you are done with general confirmation email settings, click “Plain Content” to set your confirmation email content:

  • Just like in subject of your email, you can personalize the body of your confirmation also
  • To let your subscribers confirm their subscriptions, you must include special subscription link in your email. This is done by inserting special tag into your email body. You can find all available links in the personalization list.
  • If you want, you can send a welcome auto-responder email to your new subscriber upon subscribing to your list (after confirmation gets done). You can enable this option by checking “Let’s greet them!” check box:

  • Setting up your welcome email is just same setting your confirmation email described above.
